How do I schedule, cancel or reschedule interviews with Consultants, and how do I set my own availability?

Leafr makes it easy to schedule interviews with Consultants, so you can get on the line with the people who fit your project, quickly.

If you’ve booked an interview with a Consultant but the time no longer works and you need to rearrange, no problem. It’s easy to propose new times on Leafr.

Scheduling interviews with Consultants

When you receive applications for your project, you can schedule interviews directly through Leafr's platform, making it easy to meet potential consultants before making your final decision.

Selecting Your availability

When you post a project, a scheduling dialog will display a calendar where you can select your preferred interview time slots.

Choose from available time slots that work with your schedule. Select your timezone from the dropdown to ensure both you and the consultant have the correct meeting time.

Note: although we offer time slots in 1 hour increments, the interviews are 30 minutes as a default. This gives you more options for interview slots.

Changing your availability

You can also update your general availability for future interviews by clicking ‘Edit Availability’ in the same section.

Scheduling interviews

Once Consultants have applied, you can start scheduling interviews. You can do this in a few ways:

From the Applicants tab

Hit the 'Interview Applicants' button at the top right of the Applicants tab, and select a Consultant from the dropdown.

If you're in the Applications tab, you can also find the consultant you want to interview and click the "Schedule Interview" button on their application card.

You can also open any application's full profile and use the "Schedule Interview" button in the top action bar.

From the Applicants tab

Alternatively, go to the 'Interviews' tab and hit the 'New Interview' button to open the dropdown.

On each of these pop ups you’ll see overlapping times (that you can the Consultant can both do) marked with green dots, and the Consultant’s other available times marked with yellow dots.

Pick one of those and the interview will hit your diary.

Interview calendar invites

Once the interview is scheduled Leafr automatically generates a professional meeting invitation with video call details included.

Both you and the consultant receive email confirmations with calendar invites and meeting access information.

The scheduled interview appears in your project dashboard, and yours and the consultant's calendar simultaneously.

During interviews

Use the provided video link to connect with the consultant at your scheduled time.

Note: Leafr may record interviews for training purposes - you will see our recorder joining the call.

After the interview, you can move forward with offering a contract or continue reviewing other applicants based on your experience.

Managing scheduled interviews

View all upcoming interviews in the "Interviews" tab of your project details page.

You can reschedule or cancel interviews up to 12 hours before the scheduled time if you need to.

The platform sends automatic reminders to both parties 24 hours and 1 hour before each scheduled interview.

Proposing new times

If you can't make an interview, you can change the time from within the Leafr platform, or from the calendar invite.

  1. Go to the ‘Interviews’ tab on your Project page (You can also click a 'Propose new time' link in the email invite that you've been sent).

  2. Click ‘Propose new time’ beneath the interview details. A calendar will pop up where you can browse and select new time slots.

  3. You’ll see the consultant’s available times marked with yellow dots (if they’ve added availability).

  4. Try to pick from those suggested times - this makes rescheduling smoother.

  5. Hit ‘Send’ and you’re done. You’ll get a new confirmation once the consultant accepts.

You can also update your general availability for future interviews by clicking ‘Edit Availability’ in the same section.

Cancelling interviews

To cancel an interview, don't decline the invite - use the link in the meeting chat

You can also do this from the 'Interviews' tab in your project's page. Just hit the Cancel button from the dropdown on the scheduled interview, hit confirm the cancellation.

What happens to other interviews when I accept a Consultant to a project?

When you accept a Consultant to a project (by offering them a project contract), all other Consultants interviews will be automatically cancelled.

When the Consultant accepts the project offer, all other applications will be rejected.

How do I change my interview availabilities for a project?

To change your interview availability, just go to the ‘Interviews’ tab for a project, and hit the pencil icon.

From here, you can change, remove or add availability.

You can also propose new times for interviews from this tab.

We recommend you add as much availability as possible when proposing times or setting availability: this makes it easier to schedule interviews.
