How do scheduling, cancelling or rescheduling project interviews with clients work?

How to manage your interview times with clients, including scheduling, cancelling or rescheduling if plans change.

We've created a seamless process for Consultants and Clients to find mutually convenient interview times.

In brief, when clients post a project, they'll usually select some times they can do for interviews. When you apply to the project, you'll be able to select which of these times you can do, or propose new ones.


If they want to talk to you, the client will then schedule an interview using the times you've both indicated you can do.

Step 1: The client posting the project selects their own interview availabilities

When a client posts a project, they share their preferred time slots for interviews.

Step 2: You select the times that work for you

  • When applying to projects, you'll see the client's preferred interview time slots.

  • You'll need to select at least 2 time slots from the client's available options. This helps us make sure the interview can get scheduled without a hitch.

  • Your timezone is displayed for reference (e.g., "Europe/London"). You can update this based on where you are.

Our tip: The more times you select, the higher your chances of securing an interview.

Step 3: The client schedules an interview

If the client wants to talk to you about a project, they will schedule an interview from their side of the platform.

  • The client will see the times you selected when you applied.

  • They will also see your regular availabilities that you set when you created your profile. Remember to keep these up to date!

  • Based on this set of options they will choose a time that works for both parties.

  • Once selected, the interview is officially scheduled.

What Happens Next:

  • You will get an email, notification and a diary invite to your diary.

  • Interview details appear in your project dashboard, showing the client name, date, and time slot.

  • You can click "Add to Calendar" to download to with your personal calendar - but it should already be in there.

Step 4: Interview Preparation

Make sure you're ready for the interview. Read the project brief and context, and try to write down your talking points about why you're a fit, plus your answers to any questions the client has included in the application process.

Other rules for interviews

  • Don’t ever discuss your rate with the client: if they ask, please refer them back to us. You keep 100% of the rate you quote on Leafr.

  • Keep [email protected] CC'd in all client communications.

  • After the interview, the client will update your status on Leafr to inform you of the decision and next steps.

  • It is against our policy for clients to offer work to Leafr consultants outside of the platform, including any follow-on projects.

  • If a client contacts you oustide of Leafr, please refer them back to us. We unfortunately will need to remove you from the platform if we find you have contracted projects or extensions with Leafr clients outside of the platform.

If the Time Doesn't Work (rescheduling or cancelling):

It happens: you've booked an interview with a client, and plans change. That's OK - it's easy to propose new times and rearrange interviews on Leafr. Here's how:

Proposing New Times

  • Go to your 'Application' tab in the Project page and scroll to the "Interviews" section.

  • Click "Propose new time" button below the interview details. This will bring up a calendar where you can browse new time slots.

  • You'll see the client's proposed times as marked by yellow dots (if available).

  • Try to propose for those times - it makes it much easier to reschedule the interview.

  • You'll need to select multiple time slots - again, this makes it easier to schedule interviews.

  • Hit 'Propose' and you're good to go. You'll get a new confirmation when the client.

You can also edit your availability for future interviews in this section, just hit 'Edit Availability' and a similar window will pop up.

Cancelling the interview

  • On Leafr, you can propose new times for interviews, but if you are not planning on attending the interview you'll have to withdraw your application. This is because you need to have an interview in order to start the project.

  • If you need to cancel for any other reason, just decline the meeting invite, and we'll be in touch with next steps.

Best practices for scheduling interviews

  1. Be Flexible: Offer multiple time slots to increase scheduling success.

  2. Respond Quickly: Propose new times as soon as you know the original doesn't work.

  3. Speak to Leafr: If you have any issues, get in touch with us.
